Invite colleagues into your workspace, give each one a role that matches their job, and manage who belongs as your team and engagements change.

Why add teammates

You can run a whole workspace alone — Waxe drafts, you review and send. But most service businesses want a few people involved: someone to write, someone to check pricing, someone to approve before a proposal leaves the building, and someone to handle billing.

Adding teammates means each person works under their own profile, so edits, approvals and history are attributed correctly. It also lets you set up an approval ladder so important documents get a second look before they go out.

Invite a team member

  1. Open team settings

    Go to the workspace settings and find the team or members area.

  2. Send an invitation

    Enter the person's email address. They'll receive an invite to join your workspace.

  3. Choose a role

    Pick the role that matches what they'll do — for example a drafter, an approver, or an administrator.

  4. They accept and set up

    Once they accept, they sign in, complete their profile and can start working at the access level you chose.

Choosing the right role

Match the role to the job. As a rule of thumb, give people the least access they need to do their work well — it keeps sensitive areas like billing and team management in the right hands.

  • Drafters and editors need to create projects, brief Waxe and edit documents.
  • Approvers additionally need to review and sign off documents before they're sent.
  • Administrators manage the team, roles and workspace-wide settings, including billing.
  • Occasional contributors may only need access to a single project or a read-only view.

Manage membership over time

Teams change. Someone moves to a different responsibility, a contractor finishes a project, or a person leaves entirely. Keeping membership current is part of keeping the workspace secure.

  • Change a role when someone's responsibilities shift.
  • Remove access promptly when a person leaves or no longer needs the workspace.
  • Review the list periodically so only current colleagues remain.

How many people can I add?

That depends on your plan. For what's included with your current subscription, see Plans & what's included, or contact support if you need to grow the team.

Can I change someone's role after they've joined?

Yes. An administrator can update a member's role at any time. Changes take effect immediately, so widening or narrowing access is straightforward.

What happens to a person's work when I remove them?

Their access ends, but the documents they created and the actions they took stay in the workspace and in the audit history, correctly attributed to them.

Can I limit someone to a single project?

Do invited teammates count against my credits?

Credits are about the AI work Waxe does, not headcount. Anyone on the team draws from the same shared pool — see How credits work.
