Pricing architecture

Stop paying rent on empty seats.

Proposal platforms bill per user per month — for the account manager who drafts daily and equally for the partner who signs in twice a quarter. waxTable meters the work the agent does instead. Your headcount is our business exactly never.

Do the arithmetic

Drag the slider. Watch the seat tax compound.

List prices, billed annually, verified July 2026. Our side is quoted on the same annual basis — comparing our monthly sticker to their annual rate would flatter us by half, and you would catch it.

5people

Per-seat tools bill for everyone who needs access — including the partner who signs off once a quarter. waxTable bills for the work the agent does, so the headcount on the left changes nothing on our line.

Standard per-seat plan$49 per user / month, billed annually

At 5 people, waxTable costs $960 less a year than the cheapest per-seat band above — and the gap widens with every person you add. Bands are the published list rates across the widely used proposal platforms, billed annually, verified July 2026.

The seat tax

Same ten people. Two very different bills.

Take a ten-person studio. Three of them write proposals. The other seven read, comment, approve or sign — a few times a month, some of them less.

Billed per seatTen licences. Every month. Whether or not they log in.
Billed per documentNobody is a line item. The meter runs on finished work.

24 documents went out that month — that, and only that, is what the plan has to cover.

What each pricing model actually meters. No prices here on purpose — the calculator above already carries those.

Not a discount — a direction

The seat is being retired across the whole industry.

When software does the work instead of the person, billing for people stops describing anything. We did not pick this model to undercut anyone; we picked it because it is the one that still makes sense in five years.

No metered add-ons

The parts other tools sell separately are just part of it.

Nothing below is a paid upgrade, a per-envelope charge or an integration tier.

Where we lose

Three times you should buy something else.

A comparison page that declares a clean sweep is not a comparison page. If one of these is you, we are the wrong purchase and both of us are better off knowing now.

  • You need to collect payment in the same tool

waxTable produces the invoice but does not take the money. An all-in-one client suite closes that loop; we do not.

  • Your whole process lives inside a CRM

If proposals must be generated from CRM records and written back automatically, a platform built around deep native CRM sync will serve you better today.

  • You want a locked, governed template library

Large sales teams often want every rep constrained to approved frames. That is the opposite of what waxTable does on purpose.

Questions about credits

Metered pricing only works when the meter is legible. Here is exactly how ours reads.

What does pay-per-document pricing actually mean?

You buy a monthly allowance of credits and spend them on work the AI does — generating a document, redesigning it, making an edit. Nothing is charged for a person having access, so adding a colleague who only reviews or signs costs nothing.

How many documents does each plan cover?

Basic is $8 a month for roughly 6–10 documents, Pro is $23 for roughly 34–58, and Business is $60 for roughly 120–200. Paid annually those become $5, $15 and $40 a month — the basis used in the calculator above. The document ranges are deliberately conservative: one with heavy attachments and lots of editing costs more than a simple one.

Is there a limit on team members?

Basic is a solo workspace, Pro covers five members, and Business is unlimited. Contacts are unlimited on every plan, including Free.

What happens if I run out of credits mid-month?

Generation pauses rather than silently billing you more. You can top up or move up a plan, and your existing documents stay fully editable either way.

Is usage-based pricing actually better, or just cheaper?

For a small team where most people only read and sign, it is straightforwardly better — you stop paying for dormant licences. For a large team where everyone drafts heavily every day, a flat per-seat plan can work out simpler. It depends on your shape.

Do you charge extra for e-signature or link tracking?

No. Share-link analytics, e-signature and the collaborative editor are part of the product, not paid add-ons metered separately.

Can I try it without a card?

Yes. Free gives you 100 credits on signup: 40 bonus credits that never expire plus 60 monthly credits that expire at each reset. No card is required. Export PDFs with waxTable.com on every page; upgrade for Word, PowerPoint and PDFs without this branding.
