Workspaces, projects & documents

waxTable organises work in three nested levels — workspace, project, document — so every proposal, scope, contract and invoice has an obvious home and nothing gets lost.

The three levels

Everything in waxTable sits inside one of three levels. Once you see how they nest, the rest of the product falls into place.

You move down the levels as work gets more specific: the workspace holds your brand and team, a project gathers one deal's documents, and each document is a single deliverable Waxe drafts for you.

The workspace

The workspace is your company in waxTable. It carries the things every document should inherit — your logo, colours, fonts and the people who can work in it.

The project

A project is a single deal or engagement — the thing you'd talk about as "the Acme job". It groups the documents that belong together and tracks where the deal stands.

  • Holds every document for one engagement in one place.
  • Carries a phase and status so you know what stage it's at.
  • Appears in both list and board views for easy pipeline management.
  • Keeps the client and deal context that Waxe can reuse later.

Because a project remembers the client and the numbers, your second document for that deal is far quicker than the first — Waxe already knows the context.

The document

A document is one deliverable: a proposal that persuades, a scope that defines the work, a contract that protects, an invoice that gets paid. Each of the 11 document types carries its own structure and judgment.

You draft a document by telling Waxe about the job; you refine it in the paged editor; then you approve and send it from your own domain.

Where each thing belongs

A quick rule of thumb

  1. Brand, team and billing → workspace

    Anything about your company as a whole lives at the top level and flows down automatically.

  2. One deal's documents → a project

    Group everything for a single engagement together so it's tracked as a unit.

  3. One deliverable → a document

    Each proposal, scope, contract or invoice is its own document inside the project.

Frequently asked questions

Can I have more than one workspace?

A workspace represents one company. If you genuinely run separate businesses with different brands and teams, you'd keep them apart; for one business, a single workspace is the home for all your projects.

Should I make a project per client or per deal?

Per deal. One client can have several projects over time, each with its own documents, phase and status — that keeps each engagement clean and reusable.

Can one project hold different document types?

Yes, and that's the point. A project typically holds a proposal, then a scope, a contract and one or more invoices as the deal progresses.

What inherits my branding — the workspace or each document?

Branding lives on the workspace and flows down, so every project and every document Waxe drafts is already on-brand without you setting it again.

If I delete a project, what happens to its documents?

The documents belong to the project, so they go with it. If you only want to tidy your pipeline, change the project's status or phase rather than deleting it.
